88th Convention Postponed

Greetings Brothers,

As we are dealing with the Coronavirus (COVID-19) the contact changes are fluid. So I wish to provide you an update on the status and plan for the 2020 Convention and the status of chapter activities:

1.    Refund Update for Brothers

  • Brothers we are currently working with the Fairmount in Bermuda to refund the region funds that were deposited to the hotel for the convention.
  • As all brothers know convention expenses, including hotel deposits, are tied into the registration of brothers.
  • In order to process refunds for brothers we will need those funds returned from the hotel.
  • We are asking the brothers’ patience while we resolve this process. Once this is resolved our goal is to provide the maximum refund possible for brothers (and full refunds for ladies).
  • We will provide updates as much as possible, however the sooner we resolve our deposits with the hotel the sooner we can refund the brothers.
  • This is our TOP Priority to make sure we give those brothers who registered a good outcome.
  • Once we have settled with the hotel we will work to provide refunds in a timely manner but note that it will take sometime after we have the funds.  Once we have the funds we will update the schedule of refunds for brothers.
  • Neophytes (Fall 19 and Spring 20) will have their registration fees rolled over to the 2021 Eastern Region convention.
  • Please be proactive in cancelling your rooms for Bermuda.  The region cannot cancel the room you setup for your stay there.
For questions email 2020BermudaConvention@alphaeast.com  Do not email the registrar about your refund concerns, use the above email instead.

2.    2020 Eastern Region Convention

  • The Eastern Region Convention, which was postponed, will take place in either Maryland or Philadelphia the first or second weekend in June 2020.
  • Due to the Coronavirus (COVID-19) we cannot confirm yet the exact date but it will take place on a college campus.
  • This will be a one-day (Saturday) convention to do the work of the region as outlined in the fraternity constitution and bylaws.
  • This is also critical as we hopefully come out of the Corona virus we will need time to come together and be in fraternal bonds.
  • Our goal is to have a free registration cost for this convention.
  • We are asking all chapters to send at least 2 delegates to this convention.  You may send your full delegate strength if you choose.
  • More information will come in the coming weeks with location and date.
3.    Taking care of each other
  • Now we need chapters to execute their Brothers Keepers Program by doing the following;
  • As we go through these tough times brothers, I ask that we continue to check in with each other.  This is what brotherhood is about and we need to look out for one another.
  • Call a senior brother or brother who is lacking resources and see how you can support with as little personal risk as possible.
  • Keep track of all loved ones and remember we will get through this together.

Always with Fraternal Love
The Eastern Region Leadership Team
